Why a gallery of photographs is not enough
A large image folder can still leave the engineering team uncertain. Without zone names, timestamps or a relationship to the approved scope, it is difficult to confirm what was completed and what remains inaccessible.
The evidence plan should be agreed before execution. It identifies representative points, mandatory sections and any areas requiring video rather than still photographs.

A strong report combines scope confirmation, visual evidence, completion documents and technical observations. These layers answer different questions for engineering, procurement, safety and audit teams.

Portfolio clients benefit from one naming convention, one report structure and one closure checklist across every property. Consistency makes central review faster and highlights sites where access or completion differs from the programme standard.
A common dashboard is useful, but it cannot correct unclear field evidence. The field capture process has to be designed first.
Make limitations visible
A professional report should state where cleaning could not be completed because of missing access, unsafe conditions, damaged ductwork or an operational restriction. Clear limitations protect both the client and contractor and create a practical list of next actions.
